Spa 101

Gratuity

Gratuity is not included in the price for Viva’s spa or med spa services.  Tipping is 100% optional, but is gladly accepted for a treatment well done. Gratuities typically range from 20-25% of the treatment price or more, if you experience exceptional service.

Medical & Health Conditions

To better serve you, please let us or your service provider — massage therapist, esthetician, laser technician, or injector — know if you are pregnant, or have any of the following issues: muscle or joint injuries, heart condition, high/low blood pressure, diabetes, fever, contagious skin condition or any other medical issue.

Also inform them if you are using Retin-A, Accutane, or any photosensitizing or keratolytic medications, or have recently had laser or plastic surgery. Any of the above scenarios may affect our ability to treat you.

Communicating with Your Massage Therapist or Esthetician

At Viva Day Spa + Med Spa, we specialize in customized treatments that are based on individual client needs. All aspects of our services can be customized, so please let your therapist know if you feel any discomfort or would like special attention on a particular area. Also, feel free to ask questions. The best experience always comes from honest, open communication with your therapist.

Age Restrictions

Viva Day Spa + Med Spa welcomes guests to experience the following services based on our age requirements:

  • Guests under the age of 12 can only receive nail services and must be accompanied by an adult (one adult per child). They must be well behaved while in the spa and receiving services.
  • Guests 12-17 years of age may receive body work, facials, wraps, scrubs, and hair removal services. A parent or guardian must accompany them to the spa, be present in the room for a 5-minute intake at the beginning of the service, and both parties will be required to sign a written consent.
  • Guests 12 -17 years of age must wear a bathing suit or undergarments to receive body work, facials, wraps, scrubs or hair removal services.
  • As with all of our guests, we ask that all conversation be kept to hushed tones to allow for ultimate relaxation for other clients receiving services. We reserve the right to terminate services at any point if we feel that any guest is not able to conduct themselves properly, or if they are affecting others services.
  • The minimum age for cosmetic injectables is 18 at Viva Day Spa + Med Spa. This includes Botox, Dysport, lip filler, cheek filler, all Juvederm injections, Restylane injections, Sculptra, and Kybella.

We love kids, but ask that they not be present during your spa or med spa services. Children (babies, toddlers and school-age) are not allowed to accompany an adult into a Viva Day Spa + Med Spa treatment room or lounge. Children can wait in our lobby area while the other parent/adult is receiving a spa or med spa service, as long as they are accompanied by an adult/parent.

Cell Phone Etiquette

To ensure a serene, relaxing experience for all of our guests, we kindly ask that you turn off your cell phone ringer upon arrival at the spa and refrain from taking phone calls while in the spa. Turning your ringer off and texting during pedicure services is allowed.

How Early Should You Arrive to the Spa?

You should arrive 15-20 minutes before your appointment to finalize any outstanding paperwork and unwind in our relaxation room. If you are running late, we may need to shorten your treatment to accommodate for the next scheduled appointment.

What is Viva Day Spa's Cancellation Policy?

A valid credit card number is required to hold your reservation at Viva Day Spa + Med Spa. This policy applies even if you intend to pay with a gift certificate.

24 Hour Cancellation Policy

We understand that life can be busy and unexpected things happen. So, if you need to reschedule or cancel your spa or med spa appointment, Viva Day Spa + Med Spa requires 24 hours notice prior to your scheduled treatment.

If you cancel within the 24 hour period or do not arrive for your scheduled spa or med spa service, you will be charged a cancellation fee of $75. If the price of your scheduled service is less than $75, you will only be charged the full service price.

Because we are reserving the room and service provider time, if you do not arrive at your appointment and have not cancelled your service within the 24 hours cancellation period, we will need to charge the full service price to the payment method on file to ensure our employees are properly compensated for their time.

Appointment Reminders

We’ll help you remember your appointment date/time with several reminders prior to your treatment. Viva Day Spa + Med Spa will send you an appointment confirmation, a reminder 48 hours prior to your scheduled service, and a final reminder 24 hours prior to your treatment.

Group Cancellation Policy

For groups of 3 or more guests, we require a notice of one week for cancellation of treatments.

What Is Med Spa Treatment?

Who Is The Medical Director at Viva Day Spa + Med Spa?

Viva Day Spa + Med Spa’s medical director is Aisha White, MD. She oversees our Round Rock and Austin medical teams. A native of New Orleans, Dr. White is one of just six female board-certified plastic surgeons in Austin. In addition to leading the all female medical team at Viva Med Spa, Dr. White specializes in cosmetic and reconstructive plastic surgery at her private practice, Quintessence Plastic Surgery in Austin, Texas.

Dr. White studied biology at Howard University. She earned her medical degree at the Feinberg School of Medicine at Northwestern University, while simultaneously completing a Master’s of Business Administration (MBA) at The Wharton School of Business at The University of Pennsylvania.

She completed her internship and residency in General Surgery at the SUNY  Health Center (Brooklyn, New York). She returned to Chicago complete her residency in Plastic Surgery at The University of Illinois at Chicago (Illinois). Dr. White specializes in breast and body surgery, along with cosmetic minimally-invasive and surgical aesthetic procedures.

What Should I Expect When I Book A Med Spa Treatment?

Prior to performing any medical procedure, by law you must first be seen for a medical consultation for your safety. This appointment will last approximately 15-30 minutes. One of Viva’s physician assistants or nurse practitioners will complete a medical evaluation and treatment plan before medically clearing you to proceed with any med spa treatment.

When you call to book your first med spa treatment at Viva, our  concierge will schedule an evaluation appointment. Once cleared, we will then schedule your medical spa treatment.

How Often Am I Required To Be Medically Cleared?

For medical spa services at Viva Day Spa + Med Spa, you will need a medical clearance once per year. Once our doctor or nurse practitioner makes an appropriate diagnosis and recommends a med spa treatment, you may receive the recommended treatment(s) for the following year without another visit with the nurse practitioner/physician assistant.

Is the Medical Director Onsite At All Times?

Viva’s Medical Director practices on-site at several of our locations on select days, but is not on site at all times.  Dr. White is available by phone in case of an emergency at all times. Appointments are available with Dr. White for cosmetic injectables.

Do You Accept Insurance?

No, Viva Day Spa + Med Spa does not accept insurance.

Do You Accept Medicare or Medicaid?

No, Viva Day Spa + Med Spa does not accept Medicare or Medicaid.

Do you accept CareCredit?

Yes! Viva Day Spa + Med Spa accepts CareCredit in Austin and Round Rock.With CareCredit, the health care credit card,  you can pay for med spa treatments at Viva with flexible finance options.

Day Spa For Beginners

What Should I Wear to the Spa?

At Viva Day Spa + Med Spa, we pride ourselves with being an upscale spa destination that is both welcoming and unpretentious. Your comfort is our priority.

Generally speaking, we recommend that you wear comfortable clothes. Before most of our spa and med spa treatments, you will be asked to remove your jewelry. That’s why we recommend you leaving bracelets and necklaces at home.

I’ve Never Had a Massage, Facial, or Nail Treatment Before!

No worries. Our experienced staff will walk you through the treatment, explaining what you’ll be experiencing every step of the way from beginning to end.

Can I Go to the Restroom During A Spa Treatment?

Absolutely. Your service provider will ask you prior to your scheduled treatment if you would like to use the restroom. If at any time during the treatment you need to use the restroom again, just ask.

Can I Choose a Male or Female Massage Therapist?

Sure thing. We have both male and female massage therapists. Please let us know your preference when you book your appointment.

Should I Eat/Drink Before Coming to the Spa?

We suggest either eating a light meal prior to a massage or coming on an empty stomach. It is best to avoid drinking alcohol or limiting the amount of alcohol you consume prior to massage.

Eating and drinking is perfectly fine prior to skin care, nail care,  and med spa appointments.

Do I Have to Get Completely Undressed for a Massage or Facial?

This is completely up to you. Most people choose to undress completely, and some choose to leave on their underwear.

Prior to your massage or facial, your service provider will exit the room for you to get completely comfortable. During a massage treatment, our massage therapists use a draping technique where the therapist will use the sheet to cover the entire body, except for the body part that is actively being worked on.

During a facial, you’ll wear a wrap under the sheet that allows your neck, arms and décolleté to be exposed for treatments. We do ask that any guests under the age of 17 wear a bathing suit or under garments while receiving massage or skin care services.

What Body Parts Are Treated During a Traditional Massage?

At Viva Day Spa, our therapists massage the back, neck, head, hands, feet, legs, arms, décolleté and gluteal muscles. If you would like to skip any of these areas, just tell your massage therapist. Or if you’d like special focus on one of these areas, let us know that as well. This is your time and experience, and we pride ourselves on delivering customized treatments that fit your specific need(s).

What’s the Difference Between Swedish & Deep Tissue Massage?

Swedish massage is a luxurious massage technique that melts the muscles and the mind using long fluid strokes with varying pressure to improve muscle tone, circulation and joint flexibility. This type of massage is generally less intensive than a Deep Tissue Massage. A fusion between Swedish massage and structural massage, Viva’s Deep Tissue Massage relieves aches and pains that are stored in the deepest parts of the muscles. Will I Be Sore After a Massage?

Since massage therapy is releasing lactic acid from the muscles, it can sometimes leave you sore. This is only temporary though and is due to the lactic acid — which is crystallized in the muscle — being worked out. This is why it is so important to drink plenty of water following a massage. You need to help hydrate the tissue and flush the toxins being released.

Can I Use the Showers Before a Massage?

Yes, however your must arrive early to shower. Please notify the front desk upon booking that you will be using the shower, and they will let you know how early to arrive prior to your appointment — so you can make your appointment time.

Is It Safe to Get A Massage After a Workout?

Yes, this is a great time to get a massage! The massage will help flush out lactic acid from the muscles and help relax the body.

Is It Safe to Get a Massage Right After An Injury?

No. We recommend waiting at least 48 hours after an acute injury due to possible swelling in the area. When you have swollen tissue it can be counterproductive to massage. You should ice any swollen areas and see a doctor if the swelling persists.

What’s the Difference Between Waxing & Sugaring?

Waxing and sugaring are two techniques used to remove unwanted hair by removing the hair follicle from the root. Wax is hot and applied on the skin in the direction of the hair growth, then removed with a strip in the opposite direction of the hair growth. Wax is great for use on large body parts that are not sensitive, such as the legs, arms and back. It is also great for use on brows since it has an easy application process that can result in a high level of detail needed for brow waxes. At Viva Day Spa, we carry 3 types of waxes that are of high quality and are used for specific body parts based on their properties.

Sugar is a water-soluble substance made from honey, lemon and water. It is warm and has a consistency similar to taffy. The esthetician will take a ball of sugar and work it in her hand while wearing special textured gloves. The esthetician will apply the sugar to the body part by spreading the sugar against the direction of the hair growth, and then remove the sugar using a quick flinging motion. The sugar is removed in the direction of the hair growth, which results in less hair breakage. The esthetician will continue to use the same sugar ball to remove the rest of the hair for that body part. Sugar is great to use on smaller, more sensitive body parts since it does not adhere to live skin. It is most commonly used for bikini, Brazilians, lips and underarms. Sugar is also easily removed with a wet towel since it is water-soluble.

What Should I Avoid Before & After Hair Removal?

For 24 hours post-hair removal, we recommend avoiding contact with salt water, pools or jacuzzis. We also recommend avoiding sweating or physical exertion — including contact sports — 24 hours prior to hair removal services.

What Will My Skin Look Like Right After a Facial?

Usually you will leave with glowing skin! However, most facials come with extractions, so some redness may occur right after the facial. We do use a high-frequency wand with all facial treatments to lessen redness when and if it occurs.

What Should I Bring to a Pedicure?

We recommend bringing a pair of open-toe shoes or sandals that do not touch your toenails after your pedicure.

How Long Does It Take for My Nails to Dry?

It can take your nails several hours to dry following a manicure or pedicure. It is best to wait to put closed-toe shoes on for as long as possible after your service to protect the integrity of your nail treatment.

I’m Taking Medication for My Skin. Can I Still Get A Treatment?

We will not perform peels or hair removal services on pregnant women or on guests who are using Retin A, Accutane, Avage, Tazorac, Differin or any other medications that increase skin exfoliation or compromise the skin.  Peels or  hair removal cannot be performed on people who have recently had laser treatments, plastic surgery or a sunburn.

How Long Should My Hair Be for Waxing or Sugaring?

For optimal results and a more comfortable experience, hair should be between 1/4″ and 1/2″ in length. If hair is longer, please trim to 1/4″ prior to your appointment. We will not wax or sugar guests who are sunburned, using Retin A (currently or in the past 3 months), Accutane (currently or in the past 6 months) Differin or any other medications designed to increase skin exfoliation. After hair removal, we recommend avoiding sun exposure and excessive sweating to lessen the chances of bacterial infection.

Groups, Spa Parties & Spa Rental

How Many People Make Up a Group?

At Viva Day Spa + Med Spa, a group is defined as 5 or more guests. If your party is more than 15 people, we recommend renting out the entire spa for a completely private experience.

How Do Inquire About A Group Gathering?

Groups of 1-4 Guests: please call 512.300.2256 and a spa specialist will help coordinate your group gathering.

Groups of 5+ Guests: please fill out our Group Request Form with details about your gathering. Our dedicated Group Coordinator will respond as quickly as possible (within 72 hours) to help you create the perfect spa gathering experience.

 

Do I Need A Credit Card To Reserve My Group Gathering?

Yes. Group gatherings must be reserved with a credit card provided by the spa party organizer. However, the credit card will only be charged if there is a cancellation within our cancellation policy or a no-show by any spa party guest.

How Do I Pay for My Spa Party or Event?

We are completing group payments in the form of two deposits. The first deposit is 50% of the overall total, which is completed at the time of booking, while the second deposit is completed 1-week prior to the group reservations and is the remaining 50% of the overall bill. At check out, our front desk staff will happily split up the bill individually, or take one payment for the entire spa party. Please note that an 18% gratuity will automatically be added to treatments received by all spa parties with 5+ guests.

Any cancellations or changes need to be done 1-week before the group spa day, so we may adjust the final deposit to reflect the correct charges. Any cancellations that are done within the 1-week cancellation policy are nonrefundable.

 

Can I Rent Out the Entire Spa for a Private Party?

Absolutely! We offer the option of renting out the entire spa so that your party can be completely private and ensure that no other guests – other than those in your party – will be in the Relaxation Room or in the spa receiving services.

Plus, you’ll be able to choose the music, can offer a wider variety of refreshments, and have complete control over the noise level. Pricing for Private VIP Parties is based on the length of time of your party and the day of the week your event is scheduled. Call (512) 300-2256 for more information.

What If I Need to Change My Group Treatments or Cancel?

If you need to cancel, you must do so one week (7 days) prior to the date of your spa party.

Appointment modifications and group guest list changes must also be made one week (7 days) prior to the date of your event. Please notify us as far in advance as possible to help ensure that each of your guests can receive the treatments they would like.  Changes to appointments cannot be made on the day of your spa party due to room and staff availability.

Group gatherings must be reserved with a credit card provided by the spa party organizer. The credit card on file will be charged if there is a last minute cancellation or a no-show by any spa party guest. All cancellations made less than one week prior to the spa party date will be charged for the full price of the service.

What Else Do I Need To Know About Spa Parties?

Our Relaxation Room is available for spa party guests to utilize before, during, and after spa services at no additional cost. If another spa party is scheduled directly after yours, our front desk staff will ask your party to move up to the front waiting area once your guests have finished receiving all of their services.

All guests should arrive at least 15 minutes prior to appointment times. New guests will be required to fill out a short intake form. We will email all forms to the spa party organizer to expedite this process – please have these filled out and bring them in with you.

Please be mindful of your party’s noise level, since other clients are enjoying spa treatments in adjacent treatment rooms. We respectfully ask to keep your voices down so as not to disrupt other client’s spa experiences.

Can I Bring Refreshments To My Group Gathering?

If you book a Private Spa Party, you may bring champagne, wine and non-cooked foods to your spa party. Finger foods like fruit, cheese and desserts are some popular choices. Viva will provide glassware. We ask that you provide ice, silverware, plates and napkins, if you require them. Sorry, no outside food or drink for group gatherings that are not renting out the entire spa.

Gift Certificates

Can I Use My Viva Day Spa Gift Certificate For A Different Treatment Than What Was Purchased For Me?

Yes, your gift certificate value can be used towards any spa treatment, med spa service, or product that Viva Day Spa + Med Spa offers. You can also use it towards gratuity.

When Does My Viva Gift Certificate Expire?

Viva Day Spa + Med Spa gift certificates never expire.

Can My Gift Certificate Be Used At Any Viva Day Spa Location?

Yes, you can redeem your Viva Day Spa + Med Spa gift card at any of our three Austin spa locations or our newest location in Round Rock, TX.

If I Don't Use The Full Value Of My Gift Certificate In One Visit, Will I Have A Balance?

Yes, the remaining value will carry over as a balance on your account. You can use the remaining balance for future Viva Day Spa + Med Spa service or retail purchases.

 

 

Can I Use My Viva Day Spa Gift Card Towards Gratuity?

Yes, Viva Day Spa gift certificates can be used toward gratuity.

I'm Not Going To Use My Viva Day Spa Gift Certificate. Can I Get A Refund?

Sorry, we do not give cash refunds for Viva Day Spa gift certificates. We gladly offer credit towards all of our treatments and products or you’re welcome to use your credit to purchase a gift certificate for another person instead.

Can I Give My Gift Certificate To Someone Else?

Yes!  We’re happy to transfer your Viva Day Spa gift certificate for you.

I Lost My Gift Certificate. Can I Get A New One?

Viva Day Spa gift certificates cannot be reissued if lost or stolen but we can usually look up your name or the name of person who purchased the gift certificate and still access your credit as payment for services or products!

Can I Use My Gift Certificate On Your Online Store?

We do not currently accept Viva Day Spa gift certificates for purchase made on our online store.

Online Booking FAQs

How To Create An Online Booking Account

To create a Viva Day Spa + Med Spa online booking account, click the Book Online button your preferred Viva location. Click on Login on the top right of the page and select the “Sign Up Now!” link on the bottom of the page. Enter in the necessary information to create your account. Once completed, you will receive a confirmation email that your Online Booking account has been set up for that location.

Please note that you will need to set up a separate Online Booking account for each location (35th Street, Lamar, Domain Northside, Round Rock).

What information will I have to provide if I am creating a new guest account?

Just the basics: first name, last name, gender, phone number, email address, birthday, credit card information and billing address.

How do I view a reservation I booked online?

Log into your account via the On-Line Booking button on the Viva website. Click on the hamburger menu on the top right of the screen. Choose “Profile” and click on “Appointments”.  You can see your Upcoming Appointments and Appointment History* by clicking on the appropriate tab.

*Appointment history will show any appointments you have had for the past 90 days only.

What if I want to reserve multiple services?

To reserve multiple services or consecutive appointments on a the same day:

After you select your first service and employee, click “Add Another Service” to select a second service. Repeat to select any additional services.

To reserve services on an additional day or nonconsecutive appointments on the same day: Finish booking your first appointment and once you are finished booking your service(s), begin the online booking process again to book your next service.

What if I want to reserve services for multiple people?

If you would like to book more than one person, it may be easier to do so by calling the spa and speaking to one of our concierges to ensure that you are scheduled correctly.

Please call us at (512) 300-2256 and we will be happy to get you scheduled.

What if I can’t find a specific service that I want to book on-line?

Not all services that we offer are available to book through our on-line booking system. Please call us at (512) 300-2256 to book any service that you cannot find through our on-line booking system.

What if the specific service time that I want is not available?

If no times are available on the date you selected, you can check availability for other days and/or times by selecting “Custom” in the “Schedule a Date and Time” section of the On-Line Booking process. This will allow you to search available times between custom dates and times, so you can choose what works best for you.

If you are having trouble booking your appointment online, you can always call us at (512) 300-2256 and we will try to accommodate you as best we can.

Where can I find descriptions of services or packages?

You can find descriptions for online services by clicking the “i” next to the treatment. A pop up window will appear with the service description.

How do I cancel or change an appointment that I booked online?

Once you have booked your appointment through Viva’s online booking system, you cannot cancel or change it using our on-line booking system. You must call us at (254) 278-2705 to change or cancel your appointment.

Please remember that you must cancel your appointment within 24 hours of your appointment time to avoid a cancellation charge per our cancellation policy.

What happens if I do not show up for my appointment?

Viva Day Spa + Med Spa require 24s hours notice for cancellations.  If you do not show up for your appointment, your credit card will be charged $75 for each missed appointment or late cancellations.  Please see our full cancellation policy.

How can I change my password?

You can change your password by clicking the hamburger menu on the top right of the screen. Choose “Profile” and click on “Change Your Password”.

How can I update my information?

You can update your name, phone number, email address, birthday, reminder settings and password as well as add or delete a credit card by clicking the hamburger menu on the top right of the screen. Choose “Profile” and click on the tab that you would like to update.

If I am having trouble logging in, what should I do?

What else can I view through the on-line booking website?

Besides booking services, you can also see all your future appointments, your history of services for the past 3 months, Viva Gift Certificate balances, your account information and a list of our on-line services with descriptions.
